The maintenance log for a building

What is a maintenance log?

The condominium maintenance book is a document prepared by a construction professional which details the maintenance carried out and to be carried out in the common areas of the building. The maintenance book includes and gathers all the technical information on the maintenance methods as well as the work carried out in the building. Although now compulsory, the maintenance log is an essential management tool for any property manager.

What’s in the maintenance log?

It presents a census of the elements of the building (sometimes the common parts), with an updated maintenance schedule, detailing the work carried out (for example monthly maintenance) or to come in terms of replacement or preventive maintenance. The maintenance log can be viewed by any co-owner who wishes and is included in the co-ownership sheet. In addition to reviewing the history of the site and the date of construction or rehabilitation of the building, its date of receipt, the technical description of the building, the years of execution of major works with technical files and contact details of the companies concerned. The maintenance log can include the following information to have a complete record of the building:

– Contractual guarantees for systems and equipment;

– Maintenance manuals for all systems, equipment and components of the building, personalized according to the real needs of the condominium;

– Maintenance and conservation contracts for common equipment and their expiry date;

– History and monitoring of the building maintenance strategy and schedule.

The advantages of a maintenance log

The good administration of a co-ownership requires knowing the historical repertory of the building, such as the maintenance activities, the tasks carried out and to be planned, as well as the contracts and the guarantees in progress.

However, with condominiums subject to frequent managerial rotations, the condominium maintenance book is essential to bind the teams and convey the memory of the building and the planned work. Synthetic and complete, it allows you to take charge of the management of a building at any time and without any problem.

The maintenance book also allows you to manage the condominium proactively, by prioritizing, planning tasks over many years and budgeting for them.

The occupants are calmer because the building is better maintained and unforeseen expenses are reduced to a minimum, the condominium manages the problems upstream and does not have unnecessary costs due to duplicate interventions due to lack of experience feedback.

In addition, Groupe Rousso can help syndicates of co-owners and building managers to update this maintenance file by offering advice based on the results of their own progress reports. More specifically, Groupe Rousso establishes a maintenance report at the end of each cleaning service performed and performs periodic monitoring to assess the frequency with which decontamination must be carried out. Depending on the environment of the building, its size and its use, Groupe Rousso will be able to guide the boards of directors with the help of personalized recommendations so that they can keep the maintenance book for their building. day.

Legal implication

Article 1070 of the Civil Code of Quebec was amended in December 2019 by Bill 16. It now includes a second paragraph (article 1070.2) which states that “The board of directors establishes a logbook. This log should describe the building maintenance work. In addition, the board must ensure that the logbook is up to date and revise periodically. « This is a regulation issued by the government which establishes the content, form, procedures for maintaining and revising the logbook, not to mention the persons authorized to establish it.
